  • Property & Resident Data: Information you upload about your condominium, such as building addresses, unit numbers, resident names, email addresses, phone numbers, and vehicle information.

  • Financial Data: Payment information (credit card numbers, billing address) required to process your subscription payments. This is collected and processed by our third-party payment processor (e.g., Paddle). We do not store your full credit card details.

  • Communications: Any information you provide when you contact us for support, send us an email, or communicate within the Service (e.g., through forums or messaging features).

b) Data We Collect Automatically When you access the Service, we automatically collect:

  • Log and Usage Data: Your IP address, browser type, operating system, pages visited, features used, and the dates/times of your access.

  • Cookies and Tracking Technologies: We use cookies to keep you logged in, remember your preferences, and understand how you use our Service.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service.

  • Process your subscription payments and manage your account.

  • Allow condominium managers and residents to communicate and share information.

  • Within Your Condominium: Information you provide (like your name or unit number) may be visible to other authorized users within your specific condominium association (e.g., in a resident directory). This is controlled by your account administrator (e.g., the property manager).

  • With Service Providers: We share information with third-party vendors who perform services for us, such as payment processing (e.g., Paddle), cloud hosting (e.g., AWS, Google Cloud), and customer support tools.

  • For Legal Reasons: We may disclose your information if required by law, subpoena, or other legal process, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.

  • Business Transfers: In the event of a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred as part of that transaction.

4. Your Role as Data Controller

If you are a property manager or condominium association representative, you are the "Data Controller" for the personal data of your residents that you upload to Coproly. We act as the "Data Processor" on your behalf. You are responsible for ensuring that you have a legal basis (e.g., consent or legitimate interest) to collect and process that resident data using our Service.

5. Data Security

We use administrative, technical, and physical security measures to help protect your personal information. While we have taken reasonable steps to secure the data you provide to us, please be aware that no security system is impenetrable.

6. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you with the Service. We may also retain information to comply with our legal obligations, resolve disputes, and enforce our agreements.
